Approval questions to send every candidate in writing

Send these before any payment. Written answers create the paper trail you will need if a dispute arises later.

  1. Which entity will sign our contract, and does it match your business licence?
  2. Which production steps for our cap construction will happen in your facility, and which will be subcontracted?
  3. What is your current MOQ for our intended construction and decoration method, and how does MOQ change the unit price at different order volumes?
  4. What is your current sampling policy — cost, timing, and what happens if the first sample does not match the approved spec sheet?
  5. What are your payment milestones, and what documentation is released at each milestone?
  6. Who owns the embroidery digitising files, printing artwork and any custom hardware tooling we pay for?
  7. At which production stages do inspections occur, and can we appoint a third-party inspector?
  8. If an inspection fails against the approved spec, what is your documented correction process?
  9. What is your current production lead time from approved pre-production sample to ex-factory, and what causes it to change?
  10. Who is our single point of contact for production, and how do you escalate issues?

Score the answers, not the tone. A supplier that answers "I need to confirm with production and reply tomorrow" is scoring better than one that answers everything instantly and vaguely.

Comparing quotes without being misled

Put every quotation into the same structure before comparing:

  • Unit price at each volume tier, with the decoration method, fabric, closure and packaging stated per line.
  • One-time costs: tooling, digitising, custom trims, packaging development — and who owns each after payment.
  • Sampling costs and what each round includes; confirm the current policy directly rather than assuming anything.
  • Incoterms stated per quote, so freight and duty responsibility is comparable.
  • Revision terms: what happens to price if you change the spec between sampling and production.

A quote that is missing any of these lines is not a comparable quote — it is an incomplete document. Ask for the missing lines in writing.

Pre-production gates for a private-label program

Three gates protect a private-label project. Gate one is the spec sheet: construction, materials, colours against a reference standard, decoration method, sizing, labelling and packaging, all approved in writing. Gate two is the pre-production sample: signed and dated by both sides as the binding reference for bulk. Gate three is inspection during and after production, against that signed sample — by your own inspector or a third party you appoint.
