Hat Tech Pack Checklist for Accurate Cap Samples

Hat Tech Pack Checklist for Accurate Cap Samples

A useful hat tech pack gives the buyer and factory one shared record for construction, materials, measurements, artwork and approval notes. It should make a sample easier to quote, build and review. The checklist below focuses on information a buyer can verify; any tolerance, test or production requirement that matters to your project should be confirmed in writing before sampling.

Start with the cap construction

Name the cap type and describe the crown before discussing decoration. Record the number of panels, crown profile, structured or unstructured front, visor shape, closure and sweatband. A reference photo helps explain the visual direction, but it does not replace written specifications.

Tech pack sectionWhat to recordWhy it matters
Style and crownCap type, panel count, profile, structure and fitDefines the basic pattern and silhouette
VisorFlat or curved, length, width, top and underside materialsAffects appearance, fit and decoration space
ClosureSnap, buckle, hook-and-loop, fitted or elastic constructionChanges sizing and component requirements
Sweatband and tapeMaterial, colour, width and brandingControls comfort and inside finishing

Specify materials and colours

State the fabric type, composition where known, colour reference and the parts where each material is used. Use Pantone or another agreed physical colour standard instead of relying on a screen image. If the exact fabric has not been selected, ask the supplier to present swatches during sampling and record the approved choice.

For more context, review the cap fabric guide and the visor options.

Make artwork production-ready

Supply vector artwork when possible. For every logo, note its finished width and height, placement from a fixed seam or centre line, colour, decoration method and any backing or edge treatment. Embroidery, printing, woven patches and leather patches need different artwork preparation, so do not leave the method implied.

Add a measurement table

Include the measurements the buyer will use to approve the sample. Common fields include crown height, head opening, visor length and width, closure range, logo size and placement. The responsible product team should agree acceptable tolerances with the factory; do not copy tolerance figures from an unrelated style.

Define what the sample must prove

  • Overall shape and fit match the intended profile.
  • Fabric, colour and components match the approved references.
  • Logo size, position and technique match the artwork notes.
  • Measurements are recorded against the tech pack.
  • Any approved deviation is added to the revision history.

Photographs are useful for communication, but the physical sample and written approval record should remain the production reference. Review New Generation's sample development process before submitting a project.

Control revisions before bulk production

Give each tech pack a version number and date. When a sample changes, record the affected field rather than sending isolated comments in different messages. Before bulk approval, issue one final version that matches the approved sample, packaging instructions and agreed commercial documents.

Frequently asked questions

Can a reference photo replace a tech pack?

No. A photo explains the look, while the tech pack records construction, measurements, materials and artwork details that cannot be measured reliably from an image.

Should the tech pack change after sampling?

Yes, when an approved change is made. Update the version and record the change so the final document matches the approved physical sample.

What files should be sent with the tech pack?

Send the completed specification, vector logo files, colour references and any approved reference images or component details. Confirm additional file requirements with the factory.
